The short version
- The enquiry form prepares an email in your own email app. It does not send or store your message on this website.
- We use the information you send us to reply, discuss your project and manage our business relationship.
- Your browser stores one preference so the site can remember your cookie choice.
- We do not sell your personal information, and we do not use it for automated decisions that have legal or similar effects.
1. Who we are
Obion Ltd (“OBION”, “we”, “us” or “our”) is a software company registered in England and Wales. We build bespoke software, ERP systems, web platforms, mobile applications and integrations.
For the personal information covered by this policy, Obion Ltd is the controller. That means we decide why and how that information is used. You can contact us at hello@obionsystems.com.
2. Information we may receive
Information you choose to send us
When you email us or use the enquiry form, you may provide your name, work email address, company, project type, project summary and anything else you include in your message. If we go on to work together, our separate project or service agreement may cover additional information.
Technical information
Like most websites, our hosting and security providers may process basic request data when you visit. This can include your IP address, browser and device type, pages requested, referring page, and the date and time of a request. We use this information to deliver the site, keep it secure and diagnose problems.
Some site assets, including fonts and code libraries, are loaded from third-party content delivery networks. Those providers may receive technical request data such as your IP address when your browser requests a file.
You are not legally required to give us information through this website. If you choose not to provide enough contact or project detail, however, we may not be able to answer your enquiry.
3. How and why we use information
| What we do | Why we do it | Our lawful basis |
|---|---|---|
| Reply to enquiries and discuss a possible project | To answer your questions, understand what you need and decide whether we are a good fit | Taking steps at your request before a contract, and our legitimate interest in responding to business enquiries |
| Manage our relationship and business records | To keep track of conversations, proposals and decisions | Our legitimate interest in running OBION responsibly, and legal obligations where they apply |
| Operate, protect and improve the website | To serve pages, prevent misuse, fix faults and understand whether the site works as intended | Our legitimate interest in providing a secure, reliable website; consent where optional analytics require it |
| Establish or defend legal claims | To protect our rights and resolve disputes | Our legitimate interests and legal obligations |
We do not currently connect the website to an optional analytics provider. If that changes, optional analytics will only be enabled where the required permission has been given, and we will update this policy to explain the provider and data used.
4. Who we may share information with
We keep sharing to what is reasonably needed. Depending on the situation, information may be handled by:
- providers that host, secure or support our website and business systems;
- email, communications and document providers used to respond to you;
- professional advisers such as accountants, insurers, lawyers or auditors;
- public authorities, regulators or courts when the law requires it or when needed to protect legal rights; and
- a buyer, investor or successor if OBION is involved in a genuine sale, reorganisation or investment process, subject to appropriate confidentiality safeguards.
We do not sell or rent personal information. Providers acting for us must only use information for the services they provide and protect it appropriately.
5. International transfers
Some technology providers may process information outside the United Kingdom. Where UK data protection law requires extra safeguards, we use an approved transfer mechanism, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses. You can ask us for more information about the safeguard relevant to your data.
6. How long we keep information
We keep personal information only for as long as we reasonably need it for the purpose it was collected, including to respond to an enquiry, maintain necessary business records, meet legal obligations or deal with a dispute.
The exact period depends on the nature of the conversation, whether we work together, legal limitation periods and any record-keeping duties that apply. When information is no longer needed, we delete it or anonymise it.
7. Your data protection rights
Depending on the circumstances, UK data protection law may give you the right to:
- ask for a copy of personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to delete information;
- ask us to limit how information is used;
- receive information you gave us in a portable format, where that right applies;
- object to certain uses of your information; and
- withdraw consent at any time where we rely on consent. This does not affect earlier lawful use.
These rights are not absolute, and the right that applies can depend on our lawful basis and the circumstances. We may need to confirm your identity before completing a request. We do not normally charge a fee.
Your right to object: you can object to processing based on our legitimate interests. You always have the right to object to direct marketing. Email hello@obionsystems.com and tell us what you would like us to stop.
8. Cookies and local storage
Cookies and similar browser technologies can remember information between visits. On this site, the preference panel uses your browser’s local storage to remember whether you accepted or rejected non-essential technologies.
| Name | Type | Purpose | Duration |
|---|---|---|---|
obion-cookie-consent |
Local storage | Remembers “accepted” or “rejected” so we do not ask on every visit | Until you clear it in your browser |
You can remove this preference at any time through your browser’s site-data controls. Clearing it means the preference panel may appear again. We do not currently set optional analytics cookies or local-storage entries.
9. Security, links and children
We use reasonable organisational and technical measures designed to protect personal information. No website, email service or internet transmission is completely secure, so please avoid sending confidential credentials or highly sensitive personal information through a general enquiry.
Our website links to services and websites run by other organisations. Their privacy practices are their responsibility, so please read their notices when you leave our site.
OBION is a business-to-business service and this website is not aimed at children. Please do not send us information about a child through the enquiry form.
10. Changes, contact and complaints
We may update this policy when our website, providers or legal duties change. The date at the top shows when we last revised it. Material changes will be highlighted where appropriate.
Questions or rights requests are welcome at hello@obionsystems.com. Please contact us first if you have a concern so we have the chance to put things right.
You can also complain to the UK Information Commissioner’s Office (ICO). Visit ico.org.uk/make-a-complaint for current contact options and guidance.
